Once the Board of Examiners has assessed your marks you will be placed on COURSE COMPLETE status by Student Support Services. All students must then complete an online graduations options page.
Yes, you may have what is called an encumbrance, which is an outstanding debt to the University. Such as:
- An unpaid parking fine
- An overdue library book
- Any unpaid fees
Check if your Statement of Academic Record has the words 'Course Completed' on it. If it does and you have not recently changed address then you need to contact:

If your statement of academic record does not have 'Course Completed' printed on it, you must contact the Student Support Centre on your home campus. Alternatively, if you have just sat a supplementary or deferred exam or recently handed in your thesis you may have missed the cut-off date and will therefore be given the option to attend the next available graduation ceremony relevant to your faculty. Have you re-enrolled in Honours?
Prior to students re-enrolling in honours, they will graduate from their undergraduate award.
Do you have cross-institutional marks to be credited to your record?
The Assessments Office handle current semester status queries. You can contact it directly by e-mail: assessments@ecu.edu.au or by telephone (61 8) 6304 3911. This is the only office which can change your record.
Students will receive advice via a posted invitation which will be sent to you after you have been made Course Complete and have received your letter of Academic Transcript.
Transcripts are mailed to the correspondence address recorded on the student record system. If you have not received an Academic Transcript four weeks before your graduation ceremony please contact the Student Support Centre on your home campus.
Yes, you must complete your options page even if you do not plan to attend your ceremony. This will tell us what to do with your parchment. If you do not respond your parchment will be archived and a fee for its retrieval may be applicable.

You must inform the Student Support Centre on your home campus of your change of address immediately. International students should do this before they leave the country. If the change of address happens in the months preceding your expected graduation date please contact the Corporate Relations Office first. Your change of address will then be forwarded to Student Support Services. All changes of address must be in writing with your signature. We are not able to take changes of address over the telephone or by e-mail.
You must advise Student Support Services immediately. You will need to supply a certified copy of a birth or marriage certificate for us to change your name. In order to ensure your name appears correct on your parchment, you will need to notify Student Support Services at least six weeks prior to the ceremonies. Any name changes received after that date incur a fee of AUD$20.
Tickets are allocated to graduates based on the number of seats available at the venue and are therefore restricted to your student ticket and two guest tickets. We will not know if additional guest tickets are available until after registrations close. Following this, on Tuesday, September 16 a notice will be placed on the Corporate Events homepage indicating whether extra guests tickets are available for each of the ceremonies. We do not keep lists for ticket requests and are not able to accept such requests.
Your guest tickets may be used by anyone but please note that the ceremony may last for over 2 hours and is a formal occasion. Please note, it is a safety requirement of the venue that all children be issued with their own ticketed seat.
Parchments are mailed out within ten working days upon completing the online invitation where the POST option is selected.
All parchments sent by Certified mail can be traced if they are lost. If you have not received your parchment within a reasonable time please contact the Student Records Office on:

Graduates are required to wear Academic Regalia over regular neat business clothes. Graduation ceremonies are a formal occasion and you should dress accordingly. Ladies are advised that as they cross a high stage with bright lighting very short skirts and extremely high heeled shoes are not advisable. For men a shirt and tie is required although a jacket is not obligatory.

When you go to collect your regalia you will be told exactly what you require and what colour hood or sash you should have. You will also be shown how to wear the regalia. On the day of your ceremony people will be available to assist you.

Yes, but you will need to fill out a Statutory Declaration. Please contact the Student Records Office to request one. The fee for this is $50.00.

If you are an International Student and require a VISA request letter, please fill in the Letter Request Form and under "Type of Letter Required" select Family Visit Visa Support.
