Staff may accept nominal gifts provided that there is no perception that the staff member will be, or will be perceived to be, compromised in the process. Gifts of a nominal value by the donor, or moderate acts of hospitality may be accepted by staff. As a general rule gifts valued at $200 or less are considered nominal. The University maintains a gifts database to record all gifts offered to staff valued at over $200. It is the responsibility of the staff members and their supervisor to ensure that the relevant information is forwarded to Risk Management and Audit Assurance for recording on this database.
The onus is on staff members to lodge a declaration with their supervisor upon receipt of any acceptable gift valued over $200. This ensures that the staff member's actions and decisions are accountable and appropriate. The declaration must state that the staff member has not undermined their responsibilities as a staff member of ECU.
The declaration is located at: ECU Gifts Declaration Form. If the declaration cannot be truthfully completed, then the staff member is not to accept any gift offered. Declarations shall be made to the staff members' supervisor:
- upon the receipt of a gift, or
- if the intended gift involves a benefit or promise at a future date, at the time the donor provides written or verbal confirmation of the future benefit or promise.
Supervisors shall forward any documentation relating to the declaration of gifts received, to RMAA within 5 days of the receipt of gift declaration.
