Submit to Reserve

Academic staff can request that books, videos and CD-ROMs are held in the Reserve Collection for student use. These items are in high demand and can only be borrowed on a short-term basis.

Guidelines

To submit a request for an item to be added to the Reserve Collection, follow these guidelines:

  • Download the Reserve collection request form. Forms are also available from the Loans desk.
  • Submit your request through the internal mail, email or at the Loans desk at each campus library.
  • Contact your faculty staff team if you wish to recommend materials to be purchased for the Reserve collection.
  • Personal copies from academic staff may be used at the owner’s risk.
  • One copy per unit is usually sufficient. More may be added if the same item is required for multiple units.
  • If a large numbers of students require the same item additional copies can be made for a 3 day loan. Contact your faculty staff to arrange this.
  • It is a copyright requirement that all materials contain citation details to ensure students can correctly cite material used.
  • Single readings of copyright materials are available through the e-Reserve service and not the print Reserve.
  • To ensure that summer school requirements are catered for, simply indicate that the material is for summer school on the submission form.
  • To reuse material in the following year you need to request that the print Reserve items be reinstated.
  • Please keep a copy of your Reserve requests and items for future reference.

Processing

Every effort is made to ensure material is available as quickly as possible, however delays may occur at the start of semester. To assist Reserve staff please have your Reserve request forms submitted well before the start of semester.

  • Material in digital form (or available via our electronic resources) are processed within 3 working days.
  • Material requiring scanning by library staff (print copies) may take up to 10 working days.
  • At the start of semester, e-Reserve processing may take up to 4 weeks.
  • Submissions must meet the minimum requirements for the request to be processed. Incomplete requests will be returned.
  • An email confirming availability of items will be sent to you once the process has been completed.
  • All original items will be discarded once they have been processed and uploaded into e-Reserve.

Copyright restrictions

Under the Copyright Act and the AVCC Copyright Agency Limited (CAL) Part VB Licence, various restrictions are imposed on the amount of copying which can be done for an electronic reserve collection. These include:

  • 1 chapter or 10% of a book, but more if the book is out of print or out of copyright.
  • 1 article per issue, but more if the articles are deemed to be of the same specific subject matter (e.g. a themed issue).
  • Limits apply across all book editions unless the editions are markedly different.
  • Limits apply per institution (across all of ECU, not per unit of study).
  • The whole or part of a literary or dramatic work in a published anthology if not more than 15 pages.

Note: for material that exceeds the limit set by the Copyright Act, it is the role of the academic staff to obtain permission in writing before material can be put on e-Reserve. Where permission is required from the copyright owner, use the Copyright permission request form.
